General Reporting Features
Before diving into specific reports, here are some common features you will find across most of them:
Finding & Opening a Report
Running Reports: There are several ways to locate and open a specific report:
-
Scroll and Locate: Scroll up and down the list to find the desired report.
-
Pagination: If the report is not on the first page, use the page navigation options to switch between pages.
-
Search Function: The most efficient way is to use the search bar. Simply type all or part of the report name (e.g., "Inventory Receiving") to filter the list.
-
Run Report: Once desired report is located, click Run Report icon next to its name to open it.
Navigating a Report
Navigating Report Scroll Bars
Because reports often contain embedded tables, you may see two vertical scroll bars on the right and a horizontal scroll bar at the bottom of the report.
-
Outer Vertical Scroll Bar: Moves the entire Web page.
-
Inner Vertical Scroll Bar: Moves the data rows inside the table.
-
Horizontal Scroll Bar: Moves the data columns inside the table.
-
How to scroll the table: Hover your mouse over the data rows and use your scroll wheel, trackpad, or keyboard arrow keys.
Show Field
By default, the Show field displays 200 asset records. Select a different value (10, 20, 50, 100, or All) to adjust the number of records shown.
Sort by Name
-
Single Column: Click Name column header to sort reports alphabetically (bolder up arrow key denotes ascending A-Z and bolder down arrow key denotes descending Z-A).
-
Multiple Columns: Hold Shift + click column headers to sort by more than one column at a time.
Filtering Data
Dynamic Date Filters
Many reports include a date filter for the module you are viewing.
-
Default: This is typically set for the last 30 days or last month to optimize system performance and provide immediate, relevant insights.
-
Customization: You can easily change this to the last month, last year, or define a custom date range.
-
Refer to Limitations article for further information.
How the Date Filter Works
The Date filter offers advanced options:
-
Range Type:
-
Last: Select options like "Last Month," "Last Week," "Last 7 Days." This shows the actual time range selected.
-
Advanced: This allows you to define the Start and End values using complex expressions, such as datetime ("now"), dateadd([datetime], [integer], [dateunit]), and other supported functions.
-
Current: Select options like "Current Day," or "Current Month."
-
No Filter: Displays all data without a date range restriction.
-
Previous: Select options like "Previous Month," or "Previous Week."
-
Custom:
-
Relative Date Time: Choose a relative period, e.g., "7 days before" data.
-
Specific Date Time: Select a precise start and end date from a calendar.
-
-
Applying Filters
After selecting the preferred filters date range, remember to click Apply in the top right corner. The date range filter has its own apply button but does not run on the report until the overall filter apply button is selected.
Clearing
Click X next to an individual filter to clear it or click Clear All to reset all filters, then select Apply.
What to Expect
Check the Data Range
If you do not see any data, a quick check of the date range is often the solution, as some reports might not have recent activity.
Data Updates
Report data refreshes in max 90 mins of interval. The data date range may also be limited, refer to Limitations section.
Loading Time
Most reports load in less than 5 seconds, though some might take a few moments longer depending on the volume of data being processed.
Blank Cells
If you see an empty cell, it means the source system had no data for that field. This is intentional and helps keep the report clean and accurate
